Facilities Administrator
€40,000 – €55,000 | Hybrid (2 Days Onsite) | Dublin City Centre
Occasional Travel to the UK Required
We are currently seeking an organised and proactive Facilities Administrator to support the day-to-day coordination of facilities operations, maintenance activities, and property administration across multiple business locations. This role will work closely with internal teams, contractors, and external service providers to ensure buildings and facilities are maintained to a high operational standard.
This is an excellent opportunity for someone with facilities, property, or maintenance coordination experience who enjoys working in a fast-paced environment with a mix of administration, stakeholder management, and operational support responsibilities.
Key Responsibilities
Facilities & Maintenance Coordination
- Coordinate reactive and planned maintenance activities across office and operational sites
- Log, track and update maintenance requests through internal systems
- Liaise with contractors and suppliers to schedule works and ensure timely completion
- Support the management of utilities, waste services, security, and general facilities operations
- Assist in resolving urgent property or maintenance-related issues when required
- Monitor contractor performance and follow up on outstanding works
Administration & Compliance
- Maintain accurate facilities records, documentation, and compliance files
- Prepare and manage permits, service reports, and contractor documentation
- Support health & safety and environmental compliance processes
- Assist with facilities budgeting, invoicing, and cost tracking
- Provide regular updates and reports to management on maintenance activities and workflows
Stakeholder & Supplier Management
- Build strong working relationships with contractors, landlords, and service providers
- Coordinate communication between sites, suppliers, and internal departments
- Support property inspections and site visits when required
- Ensure a high level of customer service and responsiveness across all facilities requests
Skills & Experience
- Previous experience in facilities administration, property coordination, maintenance support, or a similar role
- Strong organisational and multitasking abilities
- Excellent communication and stakeholder management skills
- Ability to work independently while managing multiple priorities
- Good problem-solving and coordination skills
- Strong IT proficiency including Microsoft Office applications
- Understanding of health & safety and facilities compliance requirements is advantageous
- Experience working with contractors or maintenance service providers preferred
Desirable Qualifications
- Qualification or certification in Facilities Management, Property, Business Administration, or related discipline beneficial
